ABOUT THE OPPORTUNITY

The Americas Program Associate (PA) provides administrative and technical support for programs under the supervision of the Program Officer. The PA will be expected to perform mid-level tasks requiring prior experience, education, or training. The PA will support the Americas unit by providing administrative and programmatic support to the Americas Programs portfolio grants. The PA will support all administrative aspects of the Americas portfolio including reconciling credit cards and supporting and tracking subgrant agreements, consultants, contracts, and payments. The PA will track programmatic tasks, particularly related to compiling reports, coordinating travel and events, and researching new business opportunities. The PA will serve as a liaison between the Americas Program Management and headquarters’ Accounting and Administration teams. The PA will be involved with program management and serve as the primary point of contact for certain project partners.

LOGISTICS

This is a fully remote role; candidates based in Chile, Colombia, and Peru will be considered.

DAY-TO-DAY TASKS will include:

Assist the Americas Program with proposal development.

Assist in the preparation of proposals/reports/budgets; write, edit, proof, revise, and assemble finished materials.

Maintain project activity tracking schedules for project development, field reports, and follow-up communications with funders.

Assist the Program Officer and Senior Program Officer with project oversight, including progress towards program deliverables.

Assist with set-up for new projects, including local staff onboarding as needed.

Support partners with project activities and implementation.

Provide project field staff with support such as research, correspondence, and procurement as requeseted.

Research and communicate with other NGOs domestically and abroad on issues involving the media, civil society, freedom of press, health and the environment, children’s rights, and women’s issues.

Coordinate travel logistics, assist with visa applications, and arrange accommodations for the Regional/Global Director and other Internews representatives within the department.

Responsible for equipment and software pricing, procurement, insurance, and shipping to field offices.

QUALIFICATIONS WE’RE LOOKING FOR

Required

Prior experience supporting development projects, including field experience.

Relevant university degree or equivalent lived/professional experience.

Fluency in Spanish.

Superior analytical and writing ability for proposal development.

Excellent oral communication and presentation skills.

Experience with proposal writing.

Experience with MS Excel and Word.

Experience making complex travel arrangements.

Proven organizational skills, with attention to detail.

Proven ability to multi-task and prioritize a shifting workload.

Proven ability to operate effectively in a multicultural environment.

Experience preparing expense reports and budgets.

Preferred

Note: Candidates who do not have these preferred qualifications, but who are interested and willing to learn, are encouraged to apply.

Experience with financial management and familiarity with USAID rules and regulations.

Experience living, studying, or working in South America.

Experience with event planning and/or arranging logistics for project implementation abroad.

Experience preparing expense reports and budgets.

Experience with research methods.

Monitoring and evaluation experience; familiarity with logic models and program management plans (PMPs).

Demonstrated understanding of and/or experience with developing world information environments, including technical, political, and social factors.

Online editorial or information curation experience.

Familiarity with and capabilities for creating online reading and communications products.
